Pareto FM is looking for a highly organised and proactive Contract Support to join our London region team. This role plays a key part in supporting the service delivery function, ensuring smooth administration across multiple contracts and teams.
You’ll be working closely with Service Managers, Engineers, Accounts, and clients to keep operations running efficiently, accurately, and in line with contract requirements.
This is a great opportunity for someone who enjoys a fast-paced support role, thrives on structure, and takes pride in keeping systems, data, and communication flowing seamlessly.
Key Responsibilities
• Support Service Managers with the preparation of quotations and service-related documentation
• Upload and manage engineer reports on the job management system (simPRO)
• Raise purchase orders and work orders for subcontractors and materials
• Assist the Accounts team with weekly invoicing and financial reporting
• Produce regular operational and performance reports for management
• Support scheduling, logging, and closing of jobs within the CAFM system
• Provide cover for other Contract Support team members across the London region
• Act as a point of contact for clients, handling queries and booking works via email and phone
• Support compliance tracking and system administration tasks
• Ensure accurate and timely data entry across all systems
What We’re Looking For
• Experience in an administrative, contract support, or facilities support role
• Strong IT skills (simPRO experience highly desirable)
• Confident user of Microsoft Office / Google Workspace
• Highly organised with strong attention to detail
• Ability to prioritise and manage multiple tasks
• Strong communication and customer service skills
• Self-motivated and able to work independently and within a team
• Comfortable working across multiple stakeholders and fast-moving priorities
Working Arrangements
• Remote/hybrid working with occasional travel to London offices or sites
• Travel expenses covered when required
• Collaborative team environment with support from wider FM and service teams
